We are looking for an Administrator to provide clerical and administrative support, ensuring excellent service to both customers and company engineers. This role involves overseeing junior and apprentice administrators as required.
Day-to-day of the role:
- Manage the creation and receipt of purchase orders and liaise with suppliers, including handling account applications.
- Handle the receipt and entry of invoices from suppliers, contractors, and others.
- Oversee the receiving of goods and ensure equipment is assigned appropriately to jobs.
- Address discrepancies with suppliers and manage returns to manufacturers.
- Package and dispatch goods as required.
- Create invoices and liaise with customers, taking payments and organising office spaces to ensure tidiness and cleanliness.
- Log petty cash receipts and make payments to suppliers and contractors.
- Manage administrative tasks for engineers including completing work diaries, setting up meetings, booking accommodations, and vehicle hire.
- Plan journeys to ensure efficient use of engineers' time and minimise travel.
- Complete paperwork from engineers and liaise with them regarding various documentation.
- Apply for Police URNs and ARC accounts and ensure visitors and customers are greeted and catered for appropriately.
- Complete timesheets and other company paperwork as needed.
- Utilise company software effectively to perform these tasks.
Required Skills & Qualifications:
- Computer literacy is essential.
- Good working knowledge of Microsoft Office products, including Word and Excel.
- Experience with management software, preferably simPRO, is desirable.
- Previous experience in a similar role is advantageous but not essential as training is provided.
- Excellent communication skills and a good telephone manner.
- Ability to use own initiative and work with minimal supervision.
