Security Vetting Administrator

An exciting opportunity has arisen to work for BAE Systems at their site in Preston as a Vetting Administrator.
The purpose of the role is to provide a security vetting service to all internal and external customers. To ensure that service excellence is maintained and all vetting applicants' information and queries are processed professionally and efficiently. You will ensure effective controls and measures are applied diligently and confidentiality is maintained throughout the vetting and aftercare processes. You will also ensure legitimate access to HMG and company information / assets is adhered to in compliance with the internal Security Policy Framework, Her Majesty's Government (HMG), company associated security policies and procedures, and Security Operating Procedures (SOP's). As a Vetting Administrator you will be the primary point of contact in the issue and receipt of appropriate security vetting paperwork in hardcopy and electronic formats. You will perform document checks for accuracy and record on appropriate databases and systems in accordance with procedures and guidelines. Initiation and sponsorship of electronic applications to individuals via National Security Vetting portal with provision of guidance notes. Provide notifications to individuals, agencies and associated customers of clearance hasteners, cancellations and requests for further information in timely manner and provide notifications of clearance approvals to individual, agencies and associated customers in timely manner.

Typical duties include (but are not limited to):
- To provide aftercare and change of personal circumstances documentation when applicable and escalate to supervision if appropriate.
- To assist customers regarding vetting requirements, standards and policy. To ensure enquiries are dealt with considering data protection / security in relation to disclosure of information.
- Responsible for liaison with the UKSV in written and verbal communication.
- Approval of matrix requests, challenge and investigation with line manager when required for resolution.
- Liaison with candidates, employees, managers in non-compliance with vetting activities. To escalate to supervision if appropriate.
- To challenge decisions from external agencies / authorities if appropriate. Escalate to supervision if necessary for guidance and resolution.
- Escalation of security vetting matters to supervision in timely manner when operational impact or procedural issues may arise for guidance and resolution.
- Liaison with UKSV and other clearance authorities to obtain current security information.
- Liaison with UKSV regarding the transfer of clearances ensuring they are processed and recorded as appropriate.
- Responsible for liaison with other companies and external agencies in written and verbal format in respect for confirmation and transfer of clearances ensuring they are recorded appropriately.
- To establish and maintain effective working relationships with employees of other organisations and agencies in order to undertake confidential vetting enquiries.
- To provide advice and support on aspects of security vetting procedures to internal/external customers on a daily basis by verbal or electronic methods.
- Responsible for the transmission of appropriate security clearance review paperwork to internal/external customers in timely manner and follow up process.
- Responsible for the day-to-day requests to the vetting shared mailbox on a daily basis ensuring all requests are responded to and dealt with in a timely and efficient manner.
- Obtaining, registering and recording of other companies and external agencies clearance details on associated databases.

Accountabilities;
- Assist in delivering security briefings to internal/external customers for UK, Dual and Non –UK nationals whom have limitations placed on their security clearance / Threat Brief.
- Liaison with Recruitment and agency personnel to ensure effective and efficient practices are adhered to and any remedial actions are disseminated out.
- To contribute to the decision-making process by accurately recording and reporting information gathered to identify and evidence any perceived vulnerability.
- To identify any deficiencies or improvements to vetting activities and inform supervision for remedial action or resolution.
- Perform any other tasks appropriate to the role at the request of the customer.

The successful applicant will have good administration skills, be able to follow processes and adhere to strict guidelines. Previous experience working in a similar role would be an advantage.
