Facilities Coordinator

Our client are an international financial services firm specialising in corporate and investment banking. They are hiring a Facilities Coordinator to join their in-house team on a permanent basis in London.
Your new role
As Facilities Coordinator you will be responsible for coordinating workplace, facilities, access management and H&S activities. This role supports the management and performance of Workplace through self-delivery and efficient management of supply chain partners. Key duties will include:

  • Co-ordination and management of the Workplace helpdesk.
  • Documenting, record keeping, admin etc.
  • Data management - Power BI, pivot tables, Excel etc.
  • Scheduling of reactive and planned maintenance by third parties to deliver an appropriate and safe working environment for colleagues, facilitating achievement of statutory compliance, British Standards and/or ACOP (Approved Codes of Practice).
  • Record keeping to evidence statutory compliance / British Standards / ACOP.
  • Collation, analysis and presentation of Workplace data.
  • Collaborate cross departmentally to resolve Workplace related activities.
  • Coordinating desk moves etc.

What you'll need to succeed
To succeed in this role you will require relevant experience in a facilities & workplace support role, ideally within a corporate office environment. You will also require:

  • Data management skills - Power BI, pivot tables, Excel etc.
  • Technical awareness for managing 3rd parties with regard to hard services
  • Organisational skills
  • Hard services experience - specifying and co-ordinating mechanical and electrical works.
  • Experience with PPM and scheduling of works.
  • Experience reviewing report /job sheets, identification of remedial activities and close out of works.
  • Understanding of HVAC systems including FCU and Moduline.
  • Familiarity and knowledge of statutory compliance, British Standards and ACOP related to Workplace and Facilities Management.
  • Ideally utilised Building Management System (BMS) and CAFM software.
  • Experience with workplace and facilities data analysis and evaluation.
  • Able to review and understand Risk Assessments and Method Statements.
  • Customer facing - dealing with colleagues, suppliers and contractors.
  • Physically able to undertake lifting and manual handling tasks.
