You will support the management of the Executive Office to ensure its efficient and effective operation, facilitate timely decision-making, and achieve functional objectives. This diverse role includes the following key responsibilities:

Description

  • Evaluate and prioritise inquiries directed to the President, ensuring swift and appropriate actions.
  • Take full charge of the President's email in-box, crafting thoughtful replies and providing valuable insights on emerging trends.
  • Cultivate and manage key relationships on behalf of the President, including high-profile clients and non-Exec commitments.
  • Orchestrate Leadership Team meetings: collate and distribute board packs, track follow-up actions, and arrange travel and accommodations for Board Members.
  • Participate in monthly Leadership Team and quarterly Holdings Board meetings, capturing essential notes and producing comprehensive Records of Decisions.
  • Execute seamless diary and travel management, prioritise crucial meetings, plan future events, liaise with clients, and create optimal meeting environments.
  • Screen and route requests for the President's time, ensuring efficient delegation to relevant departments.
  • Plan, coordinate, and execute dynamic functional meetings, off-sites, and events, including the comprehensive management of the annual Business Forum.
  • Monitor, draft, and report on Executive Tender Reviews submitted.
  • Collaborate with Executive Assistants across the group, engaging in quarterly forums to foster teamwork and innovation.
  • Embrace the opportunity to travel with the President and be available beyond standard hours to tackle urgent, high-impact tasks.

Profile

  • Significant experience in a similar role with the ability to anticipate needs and prevent last-minute activities
  • Exceptionally strong planning, organisation, and prioritisation skills with flexibility to adapt to changing situations
  • Ability to work independently, multitask, and operate effectively under pressure
  • High level of attention to detail with the ability to meet deadlines
  • Experience operating and influencing up to Director level
  • Excellent emotional intelligence, communication, and relationship management skills
  • Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and Teams
