Senior Operations Administrator

Can you lead by example, delegating work and ensuring the 'front of house' service runs smoothly at all times?

The Role

This is a maternity leave contract to ideally start in September / October to join a university based in Central London. You will be based on-site daily within their bright, very modern campus which offers students a range of programmes, including weekend courses. Their ideal candidate would offer their availability from Tuesday - Saturday, however the Manager would consider candidates who can only offer Monday - Friday. Ideally, the team are seeking someone who can work a 35-hour shift pattern between the hours of 08.30am - 6pm, but a 9am - 5pm could be considered.

The role has responsibility for the day-to-day operational oversight of 5 Operations Administrators (Front office staff). You will offer a high-quality administrative support and customer service at the university's front desk providing advice and support to both staff and students in a professional and helpful manner. Excellent customer service and communication skills are essential for this role.

You will undertake a range of administrative duties and will be expected to work independently and proactively to ensure tasks are completed.

Key duties include:

  • Supporting the Campus Operations Manager to ensure a smooth running of the front office Operations Administrators
  • Respond appropriately and in good time to requests by phone, email or via the CAFM system
  • Assist with arranging meetings, taking minutes and circulating papers for monthly / quarterly review meetings
  • Responsible for providing support University events such as graduation, open days and welcome days both administratively and on the day
  • Produce and monitor Operation Administrators working rota and ensuring excellent time-keeping
  • Operate as part of a Helpdesk to manage the department workload
  • Using various IT systems to ensure effective administration (e.g. Moodle/CELCAT/Unit-EM/ MS Office

Experience required:

  • Previous experience within another university in providing high quality administrative support
  • Demonstrable excellent customer service delivery
  • Good interpersonal and communication
  • Ability to demonstrate effective organisational skills
  • Leadership qualities to oversee the team to ensure a great service
  • Competent with IT packages including Microsoft Office
