What you'll be doing

In this role, you'll be a key part of our team, helping to keep everything running smoothly as we publish our Standards, Codes, and Guidance titles. Your daily tasks will include coordinating the collection of signed contracts, managing manuscript submissions, and making sure our contributors have everything they need. You'll also be adding authors and freelancers to our payment system, making sure they're paid on time, and handling various administrative tasks that keep our publishing process on track.

You'll be involved in managing permissions, both requesting and granting, to ensure we have the right approvals for all the content we use. Your attention to detail will shine as you track illustrations, work closely with our production teams, and coordinate the distribution of books to our authors. You'll also be updating websites and helping with any research or projects that come up, keeping everything organised and running smoothly.

Beyond these tasks, you'll support the team by taking minutes during meetings, keeping everyone in the loop, and helping to manage projects from start to finish. Your proactive approach and willingness to dive in wherever needed will help us continue delivering top-quality publications that make a real difference in the engineering community.

We're looking for someone who has a keen eye for detail. You'll be someone who's organised, able to juggle multiple tasks, and thrives under deadlines. Your experience with Microsoft Office, especially Excel and Word, will be really handy in keeping things running efficiently.

Good time management and problem-solving skills are key, as is the ability to communicate clearly and confidently—whether that's in an email, on a call, or face-to-face with our authors and editors.

A little more about the role

  • Coordinate the collection and archiving of signed contracts.
  • Manage manuscript submissions, ensuring timely delivery and stakeholder reviews.
  • Add authors and freelancers to the payment system and process payments efficiently.
  • Handle permissions requests, both inbound and outbound, ensuring all necessary approvals are obtained.
  • Track and manage illustration activities, working closely with production teams to ensure quality and accuracy.
  • Liaise with the warehouse to coordinate the distribution of books to authors.
  • Update relevant websites with the latest information and content.
  • Provide research support for publishing proposals, gathering accurate and relevant data.
  • Assist in the coordination of projects, helping to keep everything on track and within deadlines.
  • Take minutes during meetings, circulating them to stakeholders and ensuring follow-up on action points.
  • Monitor and report on customer download statistics, providing insights to the team.
  • Upload manuscripts to our online XML authoring platform and consultation site, compiling and monitoring responses.
  • Proofread and copy-edit manuscripts to ensure they meet our high standards.
  • Collaborate with marketing colleagues to support the promotion of publications.

A little more about what we're looking for

  • Experience in a publishing environment is beneficial but not essential - experience with an Administrative or Coordinator role with transferrable skillset is highly advantageous.
  • Excellent verbal and written communication abilities, with the confidence to engage with high-profile authors, editors, and internal teams.
  • Strong organisation and time management skills, able to prioritise tasks and consistently meeting deadlines.
  • Excellent attention to detail.
  • A passion for creating a positive and inclusive work environment, fostering collaboration, and contributing to a supportive team atmosphere.
  • Ability to work independently and take initiative when required.
  • Proficiency in Microsoft Office applications and a willingness to learn and use any applicable support systems, including CRMs and databases.
