Receptionist/ Administrator - Guest Services

To work with a UK leading facilities management and professional services company with clients ranging from household names in banking, critical government sites as well as hospitals and schools.

Main duties and responsibilities:

  • Warmly greet all guests/visitors with a smile, following agreed standards;
  • Escort guests to required destination (if required), ensuring smooth transitions between team members at each stage of their journey;
  • Welcome and escort guests to meeting rooms, taking coats and luggage as required;
  • Support the Facilities team as required in all aspects of their role, such as scanning, archiving, desk counts, managing contractors etc;
  • Build relationships with the EA community and the business to ensure the smooth running of the office operation and to have a full understanding of all necessary client information;
  • Communicate to your Regional Manager about any new / ongoing / potential issues and complaints so that they are addressed accordingly;
  • Communicate effectively with the relevant areas in the business on new bookings, changes to existing bookings and on any cancellations;
  • Set-up meeting rooms to the required standard (including the set-up of food and beverages where applicable) and ensure that they are checked prior to any meeting taking place.

The ideal candidate will have:

  • Experience within reception/ administration functions, able to communicate effectively;
  • Excellent customer service skilled, meeting and greeting with a smile;
  • Strong expertise in MS Word and Excel;
  • Outstanding administrative skills, organisational and flexible;
  • Located in Guernsey.
