Personal Assistant (Legal)

An exciting and varied role has become available for an experienced Personal Assistant, to join a well-established Pension Scheme, operating across England, Scotland and Wales.

This role will suit someone wanting to work Part Time, able to cover 2.5 days to start, with flexibility to then go onto 3 days. The role will report to the Company Secretary, this is a Remote role, therefore the suitable candidate will have to be comfortable working mainly on their own at Home.

The PA, will be required to attend external meetings from time to time with the Company Secretary, primarily based in London or the home counties, or otherwise via Teams Call.

ROLE:

  • Providing a comprehensive executive assistant support service to the Company Secretary and Pension Trustee to ensure the effective delivery of the Pension and Group Life arrangements.
  • Responsible for managing queries arising from the Pension Plan and Group Life and ensure that the systems, processes and procedures are managed to enable smooth and efficient administration of all aspects.
  • Provide support to the participating schemes and beneficiaries
  • Liaison with the external parties, mainly professional, working with the schemes Pension Plan Trustee.
  • Responding to, managing and following up enquiries to the Pensions Department from Participating Employers.
  • Liaising between Members and the Plan's external administrators.
  • Assisting the Company Secretary in compiling Trustee, Committee and other meeting packs and uploading documents.
  • Attending and taking the minutes of Trustee and committee meetings.
  • Liaising between scheme members and scheme administrators where required.
  • Ensuring all records and files are kept up-to-date and secure.
  • Assisting in the reporting requirements to bodies such as Companies House, The Pension Regulator and The Pension Protection Fund.
  • Assisting in maintaining and editing the pensions website and ensuring that relevant information is made available on the website.
  • Corresponding with the Trustees and Committee members where required.
  • Maintaining and updating spreadsheets.
  • Accessing and inputting information from and to the respective portals.
  • Provision of secretarial administrative support to the Chair, Trustee and Committee members.
  • Provision of administrative IT support to the Company Secretary, Chair and Trustee and Committee members, working with the Trustee's IT external support service.
  • Providing diary support to the Company Secretary
  • Managing and assisting with the Company Secretary's annual meeting planner.
  • Assisting the Company Secretary in respect of the Group Life service, annual renewals and any deaths in service
  • Responsible for own day to day work, ensuring that the Company Secretary is kept aware of any delays or problems that arise.

REQUIREMENTS:

  • Experience of working as an Executive or Personal Assistant at CEO level.
  • Minute taking at Board level.
  • Proven ability to communicate clearly and effectively.
  • Good working knowledge of Microsoft Office.
  • Good knowledge of business processes and procedures and regulatory process.
  • Good working knowledge of working with government Regulators such as the Pensions Regulator, the Charity Commission, Companies House, Housing Regulator.
  • Good understanding of Data Protection legal requirements.
  • Scheduling of legal documents.

MORE JOB INFO:

As the role is home based, meetings with the Company Secretary from time to time will be required. Therefore applicants living within a 30min drive from Gerrards Cross will be considered.

14-21 hours / 2.5 - 3 days per week (may be more initially; and during periods when the Company Secretary is away from the office).

£35,000 - £40,000 Pro Rata'd
