An exciting opportunity has arisen! A company specialising in enhancing art, culture, and language relations with Japan is looking for a Culture & Art Projects Assistant and Japanese Language Programme Assistant to join their team.
Both assistant roles are on a temporary contract basis starting from the beginning of October 2024 provisionally until the end of March 2025.
Native level of English and some interest and understanding of Japanese language and culture would be advantageous.

TYPE: Temporary contract, full-time

SALARY: £14.80 per hour plus holiday pay (28 days per year and increase from 2025)

PERIOD: beginning or mid-October 2024 - end of March 2025 for Art & Cultural

beginning or mid-October 2024 - end of February 2025 for Japanese language

programme business

WORKING HOURS: Mon-Fri, 09:00 - 17:00 with 13:00 - 14:00 unpaid lunch break

  • *Event period you'll be expected to work over weekends + some overtime

LOCATION: London (west) office / on-site or occasionally work from home available

1) Culture and Art Projects Assistant

Duties:

  • Creating documents such as programmes and questionnaires
  • Managing attendee lists prior to events (compiling online data, contacting VIPs)
  • Distributing materials, assisting attendees, and supporting general operations at the event venue on the day
  • Assisting with project marketing and publicity
  • Compiling and analysing questionnaire data
  • Handling general administrative tasks such as sending out materials
  • Supporting communication with external parties (co-sponsors, sponsors, etc.)

IDEAL CANDIDATE:

  • Proficiency in basic office tasks, including Excel, Word, and PowerPoint
  • Attention to detail and ability to handle precise tasks
  • Native-level English (able to write in English without requiring proofreading)
  • Proficiency in managing social media and skills in image editing software like Photoshop (preferable)
  • An interest in Japanese films is an advantage
  • Understanding of Japanese culture and some Japanese language skills will be advantageous, but English proficiency takes priority

2) Japanese Language Programme Assistant

Duties:

  • Assisting with the Japanese education institutions survey (checking responses, compiling data, creating lists, and following up on responses via phone and email)
  • Drafting publicity materials, programmes, questionnaires, and other documents
  • Managing attendee lists prior to events (compiling online data, contacting VIPs)
  • On-site event support, including distributing materials, assisting attendees, and other operational tasks
  • Compiling and analysing questionnaire results
  • Handling general administrative tasks such as sending out materials
  • Supporting communication with external parties (co-sponsors, sponsors, etc.)

IDEAL CANDIDATE:

  • Proficiency in basic office tasks, including Excel, Word, and PowerPoint
  • Strong attention to detail
  • Native-level English (able to write English without the need for proofreading and capable of conducting native-level checks)
  • While not essential, it is preferable to have the ability to communicate in Japanese within the workplace (for conversations with staff and reading Japanese documents)
  • Agility and persistence (the role requires' following up multiple times via phone or email for responses in relation to the Japanese education institutions survey)
