Personal Assistant to the Mayor

  • Hourly Rate: £15.75 PAYE / £19.97 LTD UMB

  • Job Type: Hybrid, Temporary (Long-term sickness cover)

We are seeking a Personal Assistant to provide comprehensive support to the Mayoralty. This role involves managing the official Mayoral diary, organising civic and charity events, and acting as the first point of contact for the Mayor. The position requires flexibility with occasional evening or weekend work.

Day-to-day of the role:

  • Act as the Mayor's first point of contact, managing the Mayor's Office inbox, prioritising important messages, and ensuring all correspondence is responded to promptly and accurately.
  • Manage and maintain the Mayor's diary, including scheduling appointments, coordinating transport and logistics with the Mayoral Chauffeur, and ensuring the Mayor is well-prepared for all engagements.
  • Prepare and circulate the Mayor and Deputy Mayor's weekly schedule of events and liaise with external organisations as necessary.
  • Help plan, coordinate, and deliver a programme of civic and charity events, including formal parades, dinners, and fundraising activities for the Mayor's Charity Appeal. This includes venue selection, catering arrangements, and publicity material preparation.
  • Develop an understanding of the Mayor's requirements, pre-empt issues, identify solutions, and implement consistent business administration systems and processes in line with the Council's ways of working.

Required Skills & Qualifications:

  • Proven experience as a Personal Assistant or similar administrative role.
  • Excellent organisational and time management skills.
  • Strong communication and interpersonal skills.
  • Ability to manage multiple tasks and adapt to changing priorities.
  • Experience in event planning and management is highly desirable.
  • Proficiency in standard office software and administrative systems.
