Salary: £25,293 - £27560 per annum
Hours: Monday - Friday 40 hours a week, flexible can be either 8:30-4:30pm or 9am-5pm

Job Purpose:
The role holder, reporting directly to the Project Manager, will be responsible for administering and supporting company Projects, creating/producing, and maintaining digital content along with assuring consistency, and supporting the Project Manager with managing the company ICT provision including infrastructure, hardware, and software. They will also ensure that exceptionally prominent levels of internal communication and working relations are always maintained, whilst supporting the delivery against specified targets of the company objectives and work plans.

Principal Duties and Responsibilities:

  • Support the Project Manager to ensure that projects are delivered efficiently, at best value, and to the required quality and legislative standards.
  • Record minutes/notetaking and maintain action trackers or other documentation relating to project meetings.
  • Collate project updates from project lead stakeholders for report preparation.
  • Assist the Project Manager in the maintenance of the PMO.
  • Preparation of Digital and Media content e.g. website for review and approval.
  • Assist in the production of content for internal communication media tv
  • Preparation of Social Media content for review and approval including submitting content for publishing purposes.
  • Assist in the production and maintenance of business-related documentation e.g. digital site plans, structure charts, and iconography and photo banks.
  • Provide formatting and oversight of documentation ensuring consistency with the businesses branding guidelines policy.
  • Support the Project Manager by administering the provision of all ICT Infrastructure, hardware, and software across the business.
  • Prepare and setup new starter logins, software, and hardware provisions; and process leaver and transferees as required.
  • Maintain ICT asset list and oversee movements across the business or via contractors / ICT service providers.
  • Undertake regular monitoring and stock checks including condition surveys on ICT equipment across the business.
  • Function as first point of contact for ICT technical issues, triage, and as required request external support, assuring trackers and logs are maintained.
  • Maintain stocks of and replenish company branded merchandise as required, including undertaking control of company events equipment used for commercial purposes.
  • Communicate effectively with contractors, colleagues, and businesses, both verbally and in writing, through the appropriate use of project notes and other record keeping within information sharing protocols and record keeping policies.
  • Develop and maintain excellent working relationships with internal/external customers. Ensure that all reports required as part of the role are delivered in time for meetings and any follow up actions are completed in a timely manner.
  • Devise and ensure appropriate records and systems are maintained for the effective and compliant operation of the company projects.
  • Follow procedures and best practice to ensure audit compliance and ISO certifications are maintained.
  • Provide administrative cover for the Project Manager in their absence.
  • Conduct any other such reasonable job-related tasks as the Company may require you to undertake from time to time.

Education

  • GCSE or equivalent in Maths and English

Experience

  • Experience of working within a digital, ICT or Projects role
  • Understanding of industry sectors of Waste, Logistics or Highways

Technical

  • Microsoft Office 365 (SharePoint) literate including PowerPoint.
  • General social media awareness including LinkedIn experience

Skills

  • Keen eye for detail in graphics and documentation formatting
  • ICT literate including ability to use portals and third-party systems.
  • Proficient writing skills
