Interim Senior Property Manager FTC Maternity Cover - HYLO

Purpose of the Role

An Interim Senior Building Manager to cover maternity leave due to commence in November 2024 until the end of 2025.

The current SBM is 100% dedicated to the property, however, consideration will also be given a candidate who can be 50/50 split between this and another site.

The individual will be required to manage the site based management team consisting of; a property manager and the engineering manager, supporting in the day-to-day running of the property.

With over 50% of the building let, and 17,000 sqft of retail space still available, the client is continuing to undergo an aggressive marketing campaign and the successful candidate will be required to input into letting queries and support the lead surveyor in any ongoing letting negotiations.

During their time onsite, they will develop excellent relationships with the occupiers and develop a positive working and social environment and culture within the building. Supporting the Surveyor, Client and letting agents with any marketing campaigns and on-going lettings at the property. They will ensure the buildings amenities are well maintained and supported by service providers. They will oversee the management of the buildings' dedicated App, ensuring the content is current, engaging and regular promotional events are scheduled. They will familiarise themselves with the buildings branding, liasing with the Client Marketing lead and the property surveyor where required.

The candidate should have prior experience working on a multi-let office building from 100,000 sqft +.

Key Responsibilities

  • Main day to day contact for the client
  • Work alongside the Property Management Team to procure best in class service providers to conduct core services such as; cleaning, security and the front of house provision.
  • To monitor the use of the Level 7 Lounge and it's newly released guidelines and adjust as necessary .
  • To promote a ‘One Team ‘ethos and culture across all areas.
  • Develop a strong relationship with the buildings Asset Manager through regular dialogue and monthly/ ad-hoc meetings, keeping them appraised of any necessary customer and building related matters.
  • To develop and oversee an enlivenment programme, ensuring an appropriate and relevant mix of events to engage with customers and stakeholders.
  • To develop and maintain a professional understanding and close working relationship with appropriate occupier representatives and encourage frequent, open communication and flow of information on relevant building issues.
  • To chair the monthly occupier meetings, ensuring customer service levels, innovations and feedback is obtained, minuted and actioned.
  • To inspect the building and all common/landlord areas on a regular basis, ensuring that all building fabric, both internally and externally, is maintained to a high standard and implement a programme of repairs where required.
  • Manage the production of the annual building service charge budget and management accounts co-ordinating the input of internal resources and ensuring strict adherence to the published programmes and closely monitoring the service charge expenditure ensuring value for money at all times.
  • To approve supplier invoices and ensure these are suitably processed for payment through the Savills systems.
  • Ensure that Health & Safety, emergency procedures and safe working practices are established, maintained and conform to current legislation, ensuring occupier and site team members are provided with a safe environment in which to conduct their core business activities.
  • Take all reasonable measures to ensure that occupiers remain aware of their obligations in respect of the building incident procedures and risk assessments and that the legitimacy of the document is not in any way compromised.
  • Act as custodian and ensure that all aspects of the relevant building manuals including Operations Manual, Health & Safety and Accounts Manuals are complied with and accurately reflect recorded amendments.
  • Ensure that all Building Key Service Commitments related to the Building are completed in line with company policy.
  • Ensure all aspects of building staff training, development and general welfare requirements are identified and formally reviewed in accordance with the company training policy and appraisal process.
  • Pro-actively procure, following the company tender guidelines where required, building and contracted services, ensuring the requisite standards for the management and delivery of building services are upheld through regular structured monitoring and direct liaison with service providers.
  • Oversee and ensure House Rules and Regulations and procedures are followed and permits to work for all contractor activities within the Building are raised.
  • Lead the delivery of sustainability objectives of the client and Savills.
  • Engage with the occupiers to understand their ESG aspirations to encourage aligned goals and behaviors

Skills, Knowledge and Experience

Essential

  • Strong Leadership skills and ability to motivate and develop a team.
  • Meticulous attention to detail and organisational skills
  • Excellent customer service and relationship building skills.
  • Comprehensive understanding and experience in service charge budgeting.
  • Comprehensive understanding of property statutory compliance guidelines.
  • Knowledge and experience with regards to occupier fit outs, landlord works.

Working Hours - Monday – Friday. FTC to cover maternity leave due to commence in November 2024 until the end of 2025.

Salary - £60,000 - £70,000 pa (Dependent on experience)
