Role Overview

Our client is a private lettings management agent responsible for both private and student accommodation, they have an exciting opportunity for an experienced Letting Administrator to become part of the lettings team in their Leeds office.

This is an extremely varied role and is perfect for a person who doesn't want to sit behind a desk all day. The role would appeal to a highly organised Lettings Administrator with the ability to work within a small team and someone who possesses a positive and proactive attitude. As the Lettings Administrator you will be responsible for liaising and negotiating directly with our private residential clients as well as managing the property letting process for a fixed client base which includes both private tenants and students.

Key Responsibilities:

  • Liaising between tenants to negotiate terms of tenancy and renewals when applicable.
  • Organising and conducting viewings, negotiating offers and successfully arranging new tenancies.
  • You will be expected to take the lead, ensuring all required paperwork and checks are carried out for each tenancy, with the support of the team, complying with all statutory legislation.
  • Managing client paperwork and bookings.
  • Assisting in general office duties i.e. reception duties and mail deliveries.
  • Negotiate tenancies with clients and matching tenants to the right properties and providing them with any property information.
  • Promoting properties to tenants using online marketing.
  • Regularly updating the Line Manager on all tenant applications.
  • Updating online adverts i.e. when the let has been agreed.
  • Ensuring that all properties adhere to proper health and safety standards.
  • Maintain a database of applicants (Excel spreadsheet).
  • Responding to emails using Outlook, updating Excel spreadsheets and using Microsoft Word to edit and prepare a variety of documents/reports.
  • You will be responsible for property viewings, preparing tenancy agreements, and handling any client enquiries.
  • You will need to be able to demonstrate excellent verbal and written communication skills and be a resourceful problem solver.
  • Deal with tenant property maintenance issues and liaising with the onsite team to ensure all issues are rectified at the earliest opportunity.
  • Ensure our processes adhere to current legislative requirements.

Duties also include:

  • Acting as front of house reception, receiving all incoming telephone enquiries.
  • Providing high levels of customer service.
  • Meeting private tenants, students and their families and assisting them with their enquiries.
  • Preparation of tenancy contracts and agreements.
  • Handling and resolving client complaints.
  • Ensuring maximum tenancy levels are maintained.
  • First point of contact for complaint handling and debt recovery.
  • Arrange and carry out viewings on private and student properties, through to applications and agreeing to let properties.

Skills & Experience required:

  • Must be IT literate and familiar with using Microsoft Office.
  • Be able to work on your own initiative and as part of a team.
  • Excellent organisational and communication skills.
  • Comfortable liaising with a distinct and extremely diverse population.
  • A strong track record of meeting deadlines.
  • You must be physically fit as this role is physical at times.

Employment Terms:

  • Full-time / Permanent
  • Holiday restrictions during certain periods due to business needs
  • Monday to Friday - will require to work a Saturday on occasions due to business needs - dates in place and can be given in advance
  • £25,650 - £26,150 per annum - reviewed following the successful completion of probation period
