£35,000 - £40,000 DOE, Aldgate, E1, London, Monday to Friday 8:30am - 5pm, Pension, Holiday

The Role

An exciting opportunity has arisen for an experienced Office Manager to join our client, a specialist fire and security systems business. Working out of beautiful, serviced offices, this brand-new role will be supporting a Team of 5 Project Managers and will be responsible for the smooth day-to-day running of the office, providing a range of operational and administrative functions including:

Director support

  • Provide professional and confidential support on a day-to-day basis to the team.
  • Manage the Directors diary using Microsoft Outlook; schedule meetings and associated arrangements; ensure relevant paperwork is provided ahead of any meetings
  • Act as the first line of contact for the director in all instances
  • Manage all correspondence to and from the director, preparing non-standard replies for approval & signature
  • Support the director to prepare a monthly Company report detailing operating activity and financials.

General EA duties

  • Organise and attend meetings and team briefings including monthly management and directors' meetings, as well as take minutes
  • Produce documents, briefing papers, reports and presentations as required
  • Ensure all current projects are fully updated and processed on our systems
  • Keeping all teams' members informed and ensuring compliance with company processes are being upheld

Human resources

  • Ensure Company HR systems are kept up to date
  • Manage staff training records and organise courses
  • Organise and manage staff functions to ensure team morale remains high
  • Provide support recruiting new employees, liaising with external recruitment and HR consultants where appropriate

General office management

  • Ensure that all Company accreditations are kept up to date
  • Working closely with directors and managers to ensure Quality Management is maintained to a high standard
  • Collate monthly reports from the Senior Management Team
  • Provide support to the Finance Team, including board report requirements
  • Devise and maintain office systems and procedures, including data management and filing
  • Develop and maintain strong relationships with work colleagues as well as with suppliers and customers.

Requirements

We would expect the successful Office Manager to have experience in office management or as a PA/EA. Ideally, you'll have experience in a construction-related industry, or another service sector that conducts planned and reactive maintenance. Some exposure to the Fire and Security sectors would be an advantage, but not essential. You will have excellent communication skills with the ability to present complex information to non-technical audiences. You will thrive in a fast-paced environment due to your excellent organisational skills. Their Head Office is based in West Sussex, so you will need to be flexible to attend this site for training and as required (expenses paid)

Package

£35,000 - £40,000

Pension

Holiday - 20 days + BH, increasing with length of service up to 25 days
