Office Manager

A great opportunity to join team Principle and support our continued consultancy support for charity clients. Principle Consulting is a social enterprise that supports charities to make a positive difference through policy, public affairs and campaigns. We're looking for an efficient, proactive, well organised team coordinator to enable the team to operate effectively by supporting us with a range of office administration tasks.

We offer a highly flexible, positive team environment. This is a 3-4 day a week (22.5 - 30 hours a week) post and the hours can be flexed so they work for the right person (for example 9-3, 9:30-2:30 or whatever suits the successful candidate best).

Job specification:

You will be responsible for the organisation and administration of Principle's core work. Supporting the consultants, account managers and directors and joint CEO's to deliver exceptional client facing work by being the administrative engine that keeps our projects aligned, invoices paid and systems working together as one. Responsibilities would include:

  • Coordinating Principle's widening access internship and work experience schemes including the intern recruitment process.
  • Supporting the team with creating externally facing documents including pitches, responses to ITTs and awards applications.
  • Formatting and updating documents for the team using templates, e.g. contracts for new clients.
  • Setting up and managing online team file-sharing.
  • Coordination, organisation and minuting of team meetings, principle events and team away days.
  • Collating timesheet information across the team.
  • Invoicing and tracking payments.
  • Oversee office budget and expenses.
  • Utilise QuickBooks for financial record keeping.
  • Ensuring our policies and regulatory documents are up to date and filed securely.
  • Managing our Principle team inbox, responding to enquiries and setting up meetings.
  • Updating social media accounts with input from the team.
  • Supporting the team as required on an ad-hoc basis, e.g. with recruitment, minuting significant meetings, etc.
  • Potential scope for supporting with client work dependent on the experience and interest of the successful candidate in this element of our work.

Person specification:

You will be a proactive kind who finds joy in administrative tasks, organisation and file management. You will love when folders are well organised and easy to access and be a fan of finding the perfect excel formula. You will be a self-starter who understands what's needed to keep people and projects on track through clear communication and creative approaches. You may have worked in an administrative role before or as a PA and are looking to use those skills in a more flexible working environment.

  • You will be used to using platforms like Slack, Google workspace, QuickBooks and even Canva.
  • You'll have an eye for making heavy information easy to digest and understand.
  • You'll have a knack for time management and finding areas you can simplify someone's to do lists.
  • As a keen problem-solver you'll find it easy to identify the root cause of an issue and present solutions to solve the problem in hand.
  • You'll be keen to make more use of digital systems and support colleagues in making their day to day work more achievable.
  • As a clear communicator, you'll find it natural to bring people along the journey and set out a clear roadmap for transforming established routes of working.
  • You'll have a penchant for security protocols and procedures ensuring everyone is working in a secure and GDPR compliant way.
