Contract: 6-month contract till March 2025

Work hours: 37 hours per week - Full time

Salary: £22.66 per hour PAYE

Main duties and responsibilities

  • To undertake tasks according to the direction of the Contract and Commercial Management team including the preparation of commercial governance materials, updating Change Registers, and ensuring all relevant documentation is stored away for auditing purposes.
  • To support the Team in providing stakeholder management administration support, including, following up with stakeholders to seek feedback, setting up workshops under direction of the Team, formatting slides, producing a decision log and keeping it updated for transparent decision making and uploading emails about key decisions and actions to SharePoint.
  • To undertake tasks according to the direction of the Commercial and Contract Management team including providing administrative assistance to the Commercial Change Board including minuting meetings, diary management, and the organization of meetings.
  • To support the Commercial and Contract Management team in managing invoices, raising Purchase Orders, and receipting Purchase Orders. Additionally, to support the team with ad hoc financial requests.
  • To create and manage files for all Commercial Management documentation (be responsible for configuration management/version control) including action/decision logs, risk register, dependencies matrix in accordance with agreed filing conventions
  • To prepare high quality documentation that contributes to the successful management of the project, project plans, risk and issues register and end stage project reports.
  • To undertake tasks using the Agile methodology and City of London Police project procedures.
  • Actively seek to implement the City of London's and City of London Police Occupational Health and Safety Policy in relation to the duties of the post, and at all times give due regard to the health and safety of both themselves and others when carrying out their duties.

Person Specification

  • Previous experience of working in a projects environment would be an advantage d
  • Experience of collating and presenting data
  • Previous experience of producing project plans an advantage
  • Literacy and numeracy skills to fulfil the duties of the role
  • Ability to work effectively as a team member and build excellent working relationships.
  • Excellent administration and organisation skills with an ability to meet strict deadlines and prioritise own workload.
  • Working knowledge of project management methodologies
  • Excellent planning and organisational skills.
  • Ability to work with minimum supervision in a pressurised environment.
  • Ability to communicate at all levels, within and outside the organisation.
  • High level of IT skills, including MS Word and Excel, with the ability to learn new software quickly.
