Receptionist Administrator

Are you a Receptionist with good administration experience looking for a new role and ideally want to work in the Fishponds area of Bristol.

This site is based just off of Fishponds road and i am recruiting for a full time receptionist / administrator to be the first point of contact when people arrive, meet and great and and sign in to the site.

This site is a designated Approved Premises (AP) for up to 26 women, supported by a specially trained all-women workforce! Residents at the site are women either returning to the community after serving time in prison or who have been given a residential requirement as part of a community sentence.

We're looking for a Receptionists/Administrator to come and join our team to provide a professional reception service for visitors, those trying to contact the site over the phone, and for our residents. As well as reception duties, the role also requires the successful candidate to provide comprehensive administrative support to the Senior Operations Manager and Deputy, along with all of the Approved Premises Team.

Key Responsibilities

  • Manage the reception area in a professional and efficient manner, being the first point of contact for all visitors and residents at the Approved Premises.
  • Alcohol test residents where required on their return to the Approved Premises.
  • Respond to any residents queries at the reception desk and direct them to the appropriate person.
  • Process incoming and outgoing telephone calls, taking messages and answering queries appropriately and in line with recognised procedures.
  • Setting up and maintaining accurate client information on relevant approved databases
  • Provide effective administration support to the team within the Approved Premises to include collating case and other records/files, management of information in accordance with standards required and processing of referrals.
  • Plan and organise own work schedule in order to contribute to the overall effectiveness of the Approved Premises
  • Undertake specific administration tasks in accordance with procedures
  • Induct new staff in the use of IT and administration procedures
  • Where authorised, provide petty cash/vouchers/travel warrants etc maintaining appropriate records in line with approved financial procedures
  • Organise availability of rooms, attend meetings as appropriate, providing required support including organising agenda, taking and distributing minutes and action points.
  • Organise the availability of appropriate equipment, materials and facilities for activities within the Approved Premises
  • Assist with the operation and maintenance of office equipment, reporting any faulty equipment and arrange for replacement/repair as agreed.
  • Check stock and order stationary and other equipment, as required.
  • Liaise with maintenance, laundry and cleaning services.
  • Maintain Health & Safety records and ensure that all activities are conducted in accordance with Health and Safety policies and procedures.
  • Collate and provide statistical information, as required.
  • Undertake mandated training.
  • Act as First Aider and Fire Warden (training will be provided)
  • Demonstrate pro-social modelling by consistently reinforcing pro-social behavior and attitudes, challenging anti-social behavior and attitudes
