ADMINISTRATOR This is an exciting opportunity for an Administrator to join a leading higher educational facility for 6 weeks! ADMINISTRATOR ROLE: Administering the recruitment of all staff within the Directorate Maintaining the Directorate's confidential staff files, including appraisals, training plans, and personal details Maintaining the Directorate's staff database, recording all personal details, training and development, and staff absence Coordinating and booking all staff training and development courses both internally and externally, recording all bookings Coordinating the distribution and collection of the annual appraisal process for the Directorate and maintaining an accurate database of appraisal information Ensuring probationary reviews are carried out by Line Managers, maintaining a database of probationers, review dates, reports, and confirmations in post, and bringing any issues to the attention of the Head of Directorate Support and Improvement Raising purchase orders for Directorate Support, ensuring compliance with financial procedures and regulations Coordinating the provision of the Directorate's mobile phones, including maintaining a mobile phone database and processing payments Ordering stationery for Directorate Support, maintaining a centralised stationery stock, reducing wastage, and ordering for best value Processing disabled car parking permits, providing information to staff, and maintaining accurate records Managing postal communications for the Directorate Undertaking personal development activities in keeping with the role Collaborating with other team members to devise new support material based on revised processes, including training and reporting Providing administrative support to the Head of Directorate Support and Improvement, including handling post, telephone enquiries, correspondence, and arranging meetings Establishing and maintaining an accurate and up-to-date electronic filing system of all correspondence ADMINISTRATOR ESSENTIALS: Minimum of 3-6 months Recruitment Coordination or Recruitment Administration experience Basic HR knowledge would be advantageous Experience with high volume administration scheduling and coordinating would be a plus Exceptional communication and organisational skills High Attention to detail Proficient in Microsoft Office If you feel that you fit the above criteria then please apply today by submitting your CV to us. The role would suit someone who enjoys administration, planning, organising and co-ordinating events. As such, prior L&D Administration experience is beneficial but not essential. The role would suit people with a background as a Personal Assistant or any other Office Administrator / Co-Ordinator type roles. This generates quite a bit of administration, from booking and preparing training rooms, to issuing joining instructions, arranging external training courses, meet and greet external trainers, collating colleague feedback, recording the training that has been completed and producing reports on key training data This role is a temporary to permanent position Responsibilities: Tracking and reporting eLearning completions Managing the L&D email inbox and calendar, recording and responding to training enquiries Administering courses, including: Room bookings Managing training calendars and trainer resources Preparing course materials Issuing joining instructions Collating and analysing course evaluation data Liaising with internal and external training providers Maintaining learning resources, including those hosted on our intranet Managing Purchase Orders and tracking the payment of invoices against budgets Person Specification Excellent communication and interpersonal skills with a friendly and professional disposition Highly organised with excellent attention to detail and an ability to work on own initiative. Qualifications and experience Proven administrative experience.
