Your new company Working for a successful law firm who have offices based all over Somerset. We currently have 2 roles available for Legal Assistant/ Secretaries for this organisation. One for the Family department and the other for the Conveyancing department. Both roles are full-time permanent, paying £23k. Working hours are Monday - Friday, 9am - 5pm. 35 hours per week. Your new role Both roles will require the duties below. However, the family secretary role will be based in the Taunton office. However, the conveyancing/ private client secretary will be required to travel to most of their offices during the working week, which are all within local travelling distance-the cost of the travel will either be reimbursed or a company car provided. This info is currently being looked into. To provide both clerical and administrative support to fee earners, either as part of a team or individually. The role plays a vital part in the administration and smooth running of the business. Secretaries are involved with the coordination and implementation of office procedures and may be responsible for specific tasks or projects and, in some cases, oversee and supervise junior staff. answering calls, taking messages and handling correspondence. maintaining diaries and arranging appointments. typing, preparing and collating reports. filing. organising and servicing meetings (producing agendas and taking minutes) managing databases. prioritising workloads. audio typing What you'll need to succeed You will be confident in your ability to work well under pressure, conducting matters professionally, whilst providing a friendly, courteous and knowledgeable service. A driving licence and your own vehicle are essential for this role. You must have audio typing experience to be successful in either of these roles. Minimum 2 years experience within a legal role. Family Department Legal Secretary/Assistant Responsibilities: Provide comprehensive and efficient secretarial/administrative support to a solicitors in the Family Department. Perform accurate audio typing of correspondence and attendance notes. Draft and prepare court documentation, client files, and legal documents. Utilise the Legal Aid Portal and HMCTS Portal. Manage the solicitor's diary and prioritise workload. Make and receive calls with clients and professional services. Maintain discretion and confidentiality regarding firm and client information. Manage both manual and electronic filing systems. Ensure client files and records are up to date. Monitor file progress and close files. Cost files and prepare billing sheets. Requirements: Experience as a legal secretary or assistant, preferably in family law. Proficient in audio typing and drafting legal documents. Strong organisational skills and ability to work to deadlines. Professional communication skills (phone and face-to-face). Familiarity with Legal Aid and HMCTS Portals. Discretion and confidentiality in handling sensitive information. Efficient file management and record-keeping. Additional Details: The role is working Monday to Friday 9am to 5pm (1 hour for lunch), includes on-site parking and 25 days holiday per annum plus bank holidays (plus Christmas shut down).
