Job Name - Accounts Receivable Assistant - Invoicing (12-month FTC) Reports to - Financial Controller Hours - 30 (Part time) Location - Harlow Job Purpose The Accounts receivable assistant will be responsible for processing the sales order and purchase order for third party deliveries. You will assist the Financial Controller in ensuring customers are invoiced in an accurate and timely manner. You will work with the Revenue protection officer and AR assistant to ensure the sales team reprice amended volume sales orders and action any missed deliveries. You will be responsible for ensuring we have received and sent on the relevant POD and all fulfilments are recorded accurately. Key Responsibilities Ensuring sales orders and purchase orders are fulfilled correctly with delivered litres using PODs provided from the third party company. Invoicing sales orders in the correct period Assist in sending out and action amended volumes on a daily basis, ensuring the accuracy of cost and sale prices. Covering the Production and distribution of the item fulfilment report to sales and transport to ensure all sales orders are either billed or closed. Covering the AR assistant by ensuring all pack sales orders are invoiced accurately by using the packages report. Checking the accuracy of courier purchase orders and approving the invoice for processing. Covering the AR assistant by working with the inventory team to ensure each vehicle has enough stock to fulfil sales orders. Sending copies of proof of deliveries or invoices. Assisting with any customer or internal queries that may arise. Any other ad hoc tasks Person Specification Minimum 2 years' admin experience. Intermediate Excel Skills. Great attention to detail, problem solving and query resolution skills. Previous experience of working within a fast-passed environment a must. Ability to 'think outside the box.' The ability to build good working relationships with both external and internal suppliers/customers. Good communication skills and ability to escalate queries to the appropriate manager.
