Middle school Secretary for a well known School based in Egham, Surrey. £27,000-£28,000. Job summary: The Middle School Secretary provides essential administrative, attendance, and reception support to students, faculty, and staff within the Middle School. It is expected that the post-holder provides and maintains a visible and welcoming presence amongst the Middle School community. Key Responsibilities (but are not limited to) the following: Administrative Duties ? Greeting and welcoming visitors to the Middle School and supporting requests from parents, students and faculty. ? Handling queries and complaints via phone, email and general correspondence. ? Collect and distribute Middle School post, deliveries from Security, and internal mail, ensuring prompt communication with relevant persons. ? Provide effective assistance with parental inquiries and issues in a timely manner. ? Provide guided and assisted visits for prospective and returning families when needed. ? Maintain an accurate and up-to-date Middle School calendar on all platforms, ensuring clear communication of events and deadlines to both faculty and parents. ? Provide efficient daily attendance tracking, ensuring student accountability within 30 minutes from the start of the school day. ? Coordinate early pickups and school events, facilitating clear communication between parents, students, and faculty. ? Respond to transcript queries, student data, and recommendations, enhancing student records management. Event and Field Trip Coordination ? In collaboration with the Middle School Admin team, provide administrative support for field trips and events, ensuring compliance and maintaining records of student attendance and incidents. ? Support the execution of Middle School events, including catering, event setup, and graduation preparations. ? Provide administrative support for Middle School trips, monitoring the competition of required forms as needed. Resource Procurement ? Maintain and audit teaching materials with timely orders, ensuring necessary resources are available when needed. ? Efficient invoicing and filing of financial paperwork, and liaise with the Business routinely. Attendance Support: ? Record faculty and staff absences and coordinate cover. ? Maintain a record of faculty and staff site departures, contributing to effective tracking. ? Student attendance and lateness management: ? Tracking and managing late arrival to school for students with timely follow-ups with parents. ? Enhanced communication with parents regarding student absences, fostering a collaborative approach to attendance issues. ? Proactive resolution of student attendance and lateness issues, ensuring minimal disruption to student learning. After-School Activities: ? Accurate attendance tracking for after-school activities, ensuring student safety and accountability. ? Timely follow-up with parents regarding absent students, maintaining clear communication. ? Smooth coordination of transportation arrangements with the busing coordinator, ensuring efficient student transport. Other Responsibilities: ? Be a welcoming presence for students, create a welcoming and inviting atmosphere and act as a first port of call for students who require support. ? Attend all mandatory training sessions, professional development days, to ensure safeguarding and role related training remains current and up to date. ? Represent the School in a professional manner at all times by providing excellent customer service to students, staff, parents and visitors. ? Any other duties that may be reasonably requested by the Head of Middle School. Safeguarding Responsibilities: ? To know the identity of the School's Designated Safeguarding Lead and Deputy; ? To proactively be alert to indicators of potential safeguarding issues and report these immediately in accordance with the school's procedure; ? To be aware of the School's policies relating to Safeguarding and Child Protection, Code of Conduct and Health and Safety, and follow their requirements. ? Attend training relating to Safeguarding of Children; ? Engage in safe practice and professional conduct to safeguard children to mitigate against the potential for misunderstandings or situations being misconstrued ? Create safe and secure learning environments.
