Position; Lodge Receptionist Location; Oxford (City Centre) Salary; £25,749 per annum Planet Recruitment have recently registered an exciting opportunity for a well-established organisation based in the city centre of Oxford, Oxfordshire area. Our client is looking for a Lodge Receptonist to work on a permanent contract. Main responsibilities; Provide accurate information and appropriate assistance to members and to Conference delegates and visitors. Check in guests and receive/process cash or card payments. Communicate effectively with other Receptionists to ensure the smooth operation Operate the telephones; answer telephone enquiries and make a record of telephone messages Process incoming and outgoing mail via Royal Mail and operate the mail franking machine. Transport any mail in a timely manner. Arrange for any couriers or special deliveries etc, as and when appropriate. Assist the Buildings Manager to maintain forwarding addresses of junior members in residence and living out of Oxford. Book seminar rooms for internal meetings Deal with B&B visitor enquiries and arrange safe storage of luggage as and when required. Receive and forward to the appropriate department reports from visitors of room defects. Details of role; 40 hours per week with a 7am start (5 days of 7 Monday - Sunday) 30 days holiday plus 8 bank hols Competitive salary Required; Conversational level spoken English. Experience of greeting guests and visitors and making them feel welcome in a positive and friendly manner. Experience of basic clerical duties and office procedures. A good standard of personal presentation. Attention to detail and a passion for providing excellent customer service. Computer literacy: Word, Excel and knowledge of booking systems. We are currently seeking a permanent Reception Manager who will be responsible to lead the Lodges in ensuring administrative and hospitality functions are efficiently performed. Main responsibilities; Recruit, train and manage Lodge staff to provide efficient cost-effective customer service, develop teams, individuals and self to enhance performance and effective working relationships. Perform regular one-to-one meetings and annual appraisals, keep staff training records up to date. In collaboration with the Lodge Supervisor, agree any remedial training of Lodge staff. Ensure the Lodge team, as a first point of contact with the College, offers a welcoming an professional service to its users at all times. Be point of contact for College security matters: dealing with breaches of security and liaising with Thames Valley Police and University Security Services, where necessary. Management of the CCTV and SALTO systems and responsibility for the downloading of images according to College CCTV policy. Day to day responsibility for CCTV operation and CCTV code of practice and liaison with emergency services In the absence of the conference team, meet and welcome clients, handle last minute changes to events and be college point of contact. Resolve guest complaints (up to agreed limit) and strive for guest satisfaction. Offer suggestions and recommendations to guests on the Oxford area - develop relationship with local amenities and arrange packages for guests to improve their experience. In collaboration with Head of Rooms Division, set sales targets and encourage upselling of College products and services. Co-ordinate the storage and collection of luggage on days of high demand. Nurture relationships with repeat customers (external and alumni). Ensure that Lodge staff are aware of upcoming events to ensure professional service. Have a thorough knowledge of all the prices, dates, time, and description of the latest events, activities, and facilities that will be provided to the incoming guests - update Lodge team on same. Required; Prior experience of managing and leading a team in a commercial, customer-facing role. The successful candidate may currently be working as a Head Receptionist or Reception Manager in a quality establishment. The ability to constructively participate in a broader management team Be confident and excellently presented, with excellent communications and interpersonal skills, including a high standard of spoken English Have proven people-management skills Be a competent user of IT systems and applications (mainly Microsoft) Have proven experience in implementing standards, policies and procedures and policing them.
