Reed are supporting a fantastic organisation based in Norwich, recruiting for the position of Receptionist, Estates & Facilities Administrator to join the team in Norwich City Centre, for a 9 month fixed term contract. Working hours of Monday to Friday 9am-5pm with one hour lunch break. Free parking on-site is available. Aiming for a start date of Monday 10th June (possibly flexible) The role Handle telephone calls as first point of contact, dealing with queries, taking messages and forwarding on information in a timely manner. Handle any complaints and direct to the Assistant to the Chief Executives Office. Maintain stock levels of membership leaflets and general information as well as maintaining notice boards. Handle payments for retail sales and the completion of the daily sales returns. Assisting with customer queries relating to Eventbrite bookings and car parking at visitor centres. Handling the post on a daily basis and maintain supply of stamps, distributing deliveries to staff Enter cash/cheques received in the excel daily register and pass to the Head of Finance Assist the Estates and Facilities Assistant with vehicle and building insurance renewals as required Input and update data on the Asset Management System, assist with monitoring and advising on upcoming planned preventative maintenance in the Estates and Facilities Assistant's absence. Assist with issues relating to staff parking and the movement of cars, monitoring of the electric charging points for the electric fleet. Maintain emergency kit bag, de-icer, cleaning cloths and first aid supplies for the vehicles. Take minutes of the Estates and Facilities team meetings. Photocopying and laminating as requested. Assist with bookings for the meeting rooms, vehicles and items of equipment e.g. projectors etc. Ordering supplies including stationary, corporate clothing, name badges, business cards, diaries, PPE equipment, kitchen consumables and refreshments Provide occasional administrative support to other teams if required We are looking for: A minimum of 1 year experience managing administration or a reception function Strong communication skills and interpersonal skills with high standards of service High levels of detail and accuracy Strong organisation and time management skills with ability to multitask and priortise Ability to be flexible and adaptable to a variety of daily situations Excellent team working skills Ability to work on own initiative Package Salary of £22,750 Free onsite parking Friendly and professional team environment Annual leave other perks!
