Purpose As a self-motivated Project Manager or Events Manager, you will be responsible for delivering projects or workstreams within a larger project or programme and contributing to planning aspects. You should have knowledge and experience in project management to solve delivery challenges. Responsibilities Upholding the culture by demonstrating and endorsing the company's beliefs, values, and behaviours. Setting, communicating, and maintaining timelines and priorities on every project. Engaging and managing suppliers such as venue sourcing, health & safety, catering, technical production, speakers, entertainment, and talent. Deliver outstanding customer service in accordance with the Client Servicing Protocol. Deliver a seamless experience for our clients, achieving a minimum of 4/5 on client satisfaction scores. Deliver all projects to the client's expectations, to brief and within the budget. Ensure projects are reconciled and information is passed in a timely fashion to Finance for billing. Actively participating in internal and external debriefs for the purposes of review and continual improvement. Creating branding briefing documents for events. Preparation and ongoing management of budgets, adhering to internal processes including recording quotes, creating PO's, payment schedules, processing invoices accurately and post event reconciliation. Preparation of onsite schedules, working/onsite docs, critical paths, health & safety and crisis management documentation to ensure proactive and thorough contingency planning is in place. When supporting larger projects; recording and communicating planning updates to the Project Lead/Account Director during the delivery phases Managing the travel and accommodation arrangements of the internal team, clients, and suppliers. Shipping of event-related materials internationally as required. Experience & Requirements: Experience of project management in a relevant industry, producing live, hybrid and virtual events Highly organized, approachable, having a very high attention to detail and be highly organised. Ability to communicate with clients and colleagues in a calm, professional and friendly manner. Highly computer literate with a proven ability to pick up and use new systems or software, including experience of Microsoft Office software. Strong focus on customer satisfaction. Team player with can-do attitude. Pro-active team member, bringing innovative ideas to the team. Administration, liaison, and coordination experience. Good verbal, written and interpersonal communication skills. Experience using registration platforms (Aventri or Cvent) would be an advantage. Experience of video production and graphics would be useful but not essential. A proven ability to control large and complicated event projects, with excellent knowledge and experience.
