Events Administrator City of London £28,000 - £31,000 per annum I am working alongside a Global leading Law firm, who are actively looking for a bright Events Administrator to join their Facilities team in London. Key responsibilities; Support the Clients in their daily responsibilities when working with events. Book and manage all events hosted with the events space. Liaise with the hospitality, AV, and facilities teams to ensure that all requests are arranged. Liaise with the Marketing Events team to support Events hosted on site. Monitor and manage the upkeep of event rooms regarding maintenance and cleanliness and organise catering for events. Ensure that the company event policy is adhered. Meet regularly and communicate with all required departments to ensure a smooth running of events. Work alongside the finance team to ensure all invoices and charges are captured accurately. Adhere to the site's security procedures and regulations. Liaise with IT equipment suppliers to report any faults and resolve issues. Set up any conference room equipment as required, including laptops, screens, and projectors. Person specification; Proven experience and knowledge working within Customer Service. Highly organised, with the ability to plan and organise workload accordingly. Ability to suggest and deliver creative solutions. My client, a renowned and prestigious membership organisation, with beautiful offices based in Central London, seeks an experienced Events Manager to join and lead their busy Events team. We are looking for an experienced events and marketing professional with excellent skills in planning, marketing, and delivering events, plus managing relationships with staff at all levels, partner organisations, external stakeholders, and suppliers. You will be responsible ultimately for ensuring conferences, exhibitions, seminars, core topics and meetings are planned, well-publicised, managed, and delivered to the highest standard with maximum impact for identified target audiences. With a team of 4 reporting to you, you will be required to line manage the team, setting individual objectives and be a mentor to encourage development. Key responsibilities will include; Strategy/Innovation/Performance Promote and safeguard the business interests and commercial needs of the organisation and fulfil strategic educational objectives.. To work with the Head of Education and Events in developing annual business plans, budgets and targets/KPIs and pricing policies to ensure events are priced appropriately. Working with the Head of Education and Events to ensure the continual development and improvement of in-person and hybrid educational events. Provide expertise in event design, delivery, and management bringing innovation to the current event offering. Event Management Lead on managing, coordinating, and implementing a comprehensive Educational Events Programme of conferences, exhibitions, seminars, core topics and delivery types, including in-person and hybrid. To take responsibility for delivering events to meet the specific targets and KPIs in the annual budgets and plans: day-to-day financial management of events including preparing, monitoring and updating budgets. Work with the Partnerships and Sponsorship Manager to create and deliver sponsorship and exhibition opportunities across the educational events programme. Work with the E-education manager to look at ways to integrate and complement educational events with online education. Work with the Head of Education and Events to develop and deliver marketing plans and materials to grow audiences, maximise KPI's and event sales and promote events. Commission, negotiate and manage event/supplier contracts, including but not limited to venues, catering, facilitators, and audio/visual (AV), and production requirements ensuring details are thoroughly checked, terms approved and agreed. Ensuring deadlines for information and cancellation penalties are not incurred. Flexible working practices will be required, as part of this role and may include evening, overnight, and weekend work within the scope of the role. Reasonable time-off-in-lieu (TOIL) is available. This role is based at the head office in Central London and my client offers a hybrid working arrangement with a minimum of 2 days in the office per week. Salary circa 50K - 55K plus excellent benefits
