Document Production Specialist (Saturday - Wednesday 9am -5pm) Fully remote Salary: up to £54,000 Large global law firm are currently recruiting for an experienced Legal Document Production Specialist to join their in-house document production department on a full-time permanent basis working fully remotely. The new permanent role will be working the day shift hours of 9am - 5pm five days per week and must include a Saturday and Sunday. The working days outside of the weekend can be flexible, ideal working days would be Saturday, Sunday, Monday, Tuesday, and Wednesday, or Wednesday - Sunday. The salary for this position will be up to £54,000 dependent on skills and experience level. The firm are looking to grow their in-house document service and are looking to hire a technically skilled Document Specialist, this role will focus on creating and editing legal documents such as briefs, letters, charts, forms, graphics, and other written material. The team are looking for an expert in a variety of software programs including: MS Word, Excel, PowerPoint, Change Pro, iManage, DocX Tools, Express Scribe, Visio, Adobe Acrobat, InterAction, RightFax, WinZip, EDGAR/SEC filing, and other software related to the core functions of the document production department. This will be a fully remote working position, and will be full-time working weekends, Monday -Wednesday 9am - 5pm, OR Wednesday - Sunday 9am - 5pm. The team can be flexible on the weekend working days, but your five working days must include Saturday and Sunday. Key Responsibilities Preparing correspondence, memoranda and other legal and non-legal documents in an accurate and timely manner; proofread and quality check documents for content, context and accuracy. Formatting, editing and styling complex WORD documents at an advanced level, including mail merge, large input and tables, TOC and TOA. Assisting as a backup to the coordinator by performing intake reviews on general job requests. Maintaining shift logs, assigned job requests and special projects to ensure deadlines are met. Creating, editing and formatting complex technical drawings, graphics and organizational charts. Coordinate and manage large and complex document production projects, including documenting detailed instructions, expectations and context, and providing clear, direct, communication of requirements and project goals. Generate reports using Contract Companion. Troubleshoot and resolves issues relating to document corruption and inconsistent styles. Create PDF portfolios using Adobe Professional. Effectively communicate with department management, proactively offering ideas and solutions when issues arise. Assisting as back-up workflow coordinator, as requested - on an as-needed basis. Exercise good judgment when handling work requests and appropriately managing tasks from one shift to the other. Taking initiative to stay current with new approaches and changes in technology relating to document production software. Qualifications and Skills 4 years of document production experience. 65 wpm typing with expert proficiency in MS Office (Word, Excel, PowerPoint). Experience in MS Word, Excel, PowerPoint, Change-Pro (document comparison), FileSite, DocX tools, EDGAR/SEC filing, Express Scribe, and Visio, Adobe Acrobat, InterAction, RightFax, WinZip, and other software related to the core functions of the document processing department. Legal experience and/or professional services experience preferred. Excellent verbal, written, organizational and interpersonal skills with a sharp attention to detail, the ability to handle multiple tasks simultaneously and meet deadlines. Ability to perform under tight deadlines. Ability to prioritize and multi-task for efficient and effective work production. Ability to be a proactive, self-starter. Large global law firm are currently recruiting for an experienced Legal Document Production Supervisor to join their in-house document production department on a full-time permanent basis working fully remotely. This new permanent role will be working the day shift on Friday, Saturday, Sunday 9am - 6pm and Monday 9am -5pm. Flexibility will be considered but has to include working Saturday and Sunday. This position is responsible for the supervision of the Document Production team and the smooth coordination of client work and other administrative tasks. The role involves encouraging and promoting teamwork across the Document Production group. Working with team members to identify problems and provide resources. Communicating and supporting firm wide policies and professional practices. In conjunction with the Director, successfully and appropriately identifying and resolving employee relations issues. Performing regular quality control checks on work. Providing excellent client service, including delivering quality work product, coordinating staffing schedules and adhering to tight deadlines. Ensuring the efficient and fair distribution of work assignments and projects. Promoting training to enhance technical and customer service skills. RESPONSIBILITIES Responsible for the quality and efficiency of the Document Production team and the work that they produce. Collaborating with the Coordinator to delegate work among members of the department. Monitor the accuracy and timeliness of job requests. Provide superior services to legal staff and business support by effectively responding to requests, inquiries and suggestions. Mediate client deadlines as needed to facilitate customer satisfaction. Utilise the department's workflow tool to ensure accuracy of team time entries and job request/tracking information. Work with the Director to generate and distribute quarterly department metrics summarized to include statistics on shift-related job requests, staff utilization, request trends and team updates. Collaborate with other Document Supervisor, Manager and Workflow Coordinators to ensure consistent communications, quality standards and specialists' skills across the department. Under the direction of the Director, provide appropriate shift coverage; maintain support teamwork schedules and organize coverage for scheduled and unscheduled absences; monitor and approve requests for overtime and other related expenses. Schedule regular individual staff meetings and updates. Conduct meetings and manager reflections; making recommendations for merit increases and performance bonuses; identifying development goals. Review shift turnovers and provide ongoing communications to promote a smooth workflow across teams. Stay current with standards for various court filings and requirements. In conjunction with the Director, identify efficiency improvements and work with Manager to execute plans to realize improvements. Communicate effectively and efficiently with attorneys/originators and Document coordinators to ensure support is acceptable and satisfactory. Manage large and complex document production projects, including documenting detailed instructions, expectations and context, and provides clear, direct communication of requirements and project goals. Ensures timely completion of all document processing work and provides final Quality Control check on all finished jobs. Pursue ongoing professional development via networking and industry groups to bring new ideas and workflow solutions to the DP department. As workload dictates, create and edit legal documents such as briefs, letters, charts, forms, graphics, and other written material. Becomes proficient in firm licensed software applications, including: MS Word, Excel, PowerPoint, Litera Compare, iManage, DocX tools, AbbyFine, Visio, Adobe Acrobat, Adobe Photoshop, InterAction, RightFax, WinZip, and other software related to the core functions of the Document Production department. In consultation with Director, and working with Human Resources, addresses and resolves employee relations issues and creates development plans, identifies and makes recommendations to manager concerning morale and other issues as they arise. SKILLS 10 years document production experience and/or 2 years as a Coordinator or Supervisor, preferably in a professional services industry with a leadership role on large-scaled, complex, advanced-level projects. Supervisory experience preferred. Legal Experience preferred. Superior proficiency in MS Office (Word, Excel, PowerPoint).
