We have an exciting new role for a Stores Assistant to work Leicestershire Police at their Headquarters in Enderby. This is a temporary till end of March 2025 working Monday-Friday, 37.24 hours a week. You must hold a full clean driving licence due to the fact that you will have to travel throughout the Force area and go to other locations. Job Role/Purpose: This role is to assist with the supply of uniform and equipment for Officers, Staff and Volunteers. Also assisting with Post Room duties. The ideal candidate will be physically fit and able to move large boxes of clothing and equipment on and off vans and onto racking. Core Responsibilities/ Accountabilities To provide advice and guidance in relation to uniform requirements for employees who have identified as Trans/non-binary and for employees who require additional support due to medical conditions, ensuring the confidentiality of those involved. To assist with the storage, issue and recording of Incapacitant, using Inca, in compliance with the regulations for handling, storing and issuing Section 5 Firearms. To assist with the daily running of picks for internal distribution and order placing. To maintain the goods inwards function for Force Headquarters, notifying internal contacts of deliveries required for collection. Maintain accurate records of both deliveries in and out. Assist with the weekly NUMS hub deliveries, stock transfers and returns. To provide a postal service to Force Headquarters, ensuring the receipt, distribution and dispatch of all internal and external mail. To track and record post as necessary i.e. recorded / special delivery. To keep accurate records regarding recorded / special deliveries. Essential Criteria To hold GCSE level C/4 or equivalent in English Language and Mathematics and / or to be able to demonstrate work experience using English and Mathematics to that standard. Full Clean Driving Licence To have experience of handling data, accurately inputting, filing, retrieving and searching for information on computer databases and manual paper based systems. To have experience of dealing with customer/supplier enquiries in a busy environment. To have experience of working to strict deadlines in a pressurised environment whilst maintaining accuracy, attention to detail and prioritising the workloads managing their time efficiently and effectively. To have experience communicating to all levels within the organisation and to external suppliers, account managers. To be physically fit enough to lift and transport heavy objects, with the assistance of equipment if required. Reasonable considered in light of Equality Act 2010. Role purpose: To provide a comprehensive secretarial service to Senior Officers to enable the District/Department to operate with maximum efficiency, working both independently and as part of a team. Maintain effective filing, retrieval, and management of both paper and electronic based systems to support audit trails and effective use of information. Maintain up to date records, ensuring archive material is safe and retrievable. Receive incoming correspondence, including complaints, and prioritise accordingly, where appropriate refer correspondence to relevant personnel within District/Department, and/or acknowledge correspondence and prepare response on behalf of Senior Officers. Maintain the electronic inbox of the Senior Officers, screening incoming emails and actioning appropriately. Make and receive phone calls, using initiative and judgement when handling enquiries at varying levels, liaising both internally and externally with partners and other Forces. Ensure messages are relayed and any action required are undertaken. To assimilate, manage and communicate a wide range of information, some of which will be sensitive and complex and may involve matters relating to individual staff or to matters that are confidential and undertake progress checks/chasers as required. To receive visitors and arrange appropriate hospitality as required Preparation of files and background materials for meetings attended by Senior Officers, obtaining specialised information/documentation. To work collaboratively with other Secretaries and PA's both SYP and partner agencies, maintaining communication and understanding to enable problem solving, information sharing and mutual support to ensure continuity of support to Senior Officers and co-ordinating of diaries. Co-ordinating of diaries to ensure sufficient Senior Officer cover is always in force, arranging/preparing written delegated authority as required. Reconcile Barclay cards and publish these accurately in line with force policy. To work independently on all aspects of the role, whilst recognising when appropriate to seek advice or assistance as required. Any other duties commensurate with the grade. Essential Criteria: Recent experience of working in an office/Secretarial role. Computer literate and competent in the use of Microsoft Applications including Word, Excel, and PowerPoint. Must have high ability to touch type with speed and accuracy Experience of managing busy diaries/conflicting appointments and prioritising appropriately. Ability to work accurately under pressure. Desirable Criteria: Experience of working with sensitive and confidential material. Previous experience of taking minutes / note taking.
