Job Overview: As an Administrator for City Infrastructure, you will play a key role in ensuring the effective administration and coordination of infrastructure projects and initiatives. You will work closely with the Assistant Business Support Manager and other team members to provide comprehensive administrative support, ensuring that our city's infrastructure services run smoothly and efficiently. Key Responsibilities: Administrative Support: Provide day-to-day administrative support to the City Infrastructure team, including scheduling meetings, preparing agendas, and taking minutes. Data Management: Manage a wide variety of data sets and systems that support the smooth running of the service. This includes service information (e.g., collection rounds, vehicle databases, health & safety data) and HR information (e.g., PIER sickness data, annual leave data, and payroll). Performance Management: Produce accurate and timely management information and support performance management across the service. Communication: Prepare and send out letters and emails to residents, councillors, and other stakeholders as required, including responses to complaints. Manage generic inboxes and ensure timely and appropriate responses. Stock Management: Manage stock and order supplies and services. Payment Handling: Take payments for council services and facilities. Customer Service: Deal with the public and respond to their queries effectively. Qualifications: Education: A high school diploma or equivalent is required. An associate's or bachelor's degree in business administration, public administration, or a related field is preferred. Experience: At least 2 years of experience in an administrative role, preferably within a municipal or public sector environment. Local authority experience would be advantageous. Skills: Strong communication skills, both phone and written, with the ability to apply the correct tone, grammar, and punctuation. Excellent organisational and time-management skills. Ability to manage a wide variety of data sets and systems. Strong team player, able to support other administrators. ur client based in Crawley are looking to recruit a temporary Administrator. The Administrator will be providing electoral support to the Lead Electoral Services Officer. This is a temporary assignment for between 6 weeks - 2 months. This is a full time position paying £16.53ph. Duties for Administrator Oversee the administration of all electoral processes, ensuring they are well-managed, open, and transparent. Ensure all activities comply with electoral legislation and meet the performance standards established by the Electoral Commission. Assist the Lead Electoral Services Officer, Democracy & Data Manager, Returning Officer, Councillors, and Candidates in organizing referendums, elections, BIDS ballots, and in maintaining and publishing the electoral register. Step in to fulfill the duties of the Lead Electoral Services Officer as necessary. Manage all aspects of absent voting to ensure a smooth and effective process. Promote democratic engagement across the borough, encouraging participation from all community groups. Aid the Lead Electoral Services Officer in delivering an efficient electoral service, including both elections and electoral registration. Assist in implementing initiatives to maximize electoral participation from all community groups. Monitor and undertake daily functions of Electoral Services, contributing to the development and innovation within the service.
