The Role We're on the hunt for an Executive Assistant to work alongside our Company Director. This role is integral to supporting the Director in various administrative and organisational tasks while embodying our company values in all interactions and activities. Day to Day Accountabilities Diary Management: Coordinate and manage the Director's schedule, ensuring efficient use of time and prioritisation of tasks in alignment with company goals and values. Email Management: Monitor and manage the Director's email inboxes, handling correspondence promptly and with professionalism, reflecting our values of trust and commitment in all communications. Correspondence Handling: Manage incoming correspondence, including letters, emails, and phone calls, demonstrating loyalty and discretion in handling sensitive information. Monthly Expense Requests: Prepare and submit monthly expense reports accurately and in a timely manner, reflecting our commitment to integrity and transparency in financial matters. Note-Taking: Attend meetings with the Director and provide comprehensive note-taking services, ensuring accurate documentation of discussions, decisions, and action items. Prepare for Leadership and Team Meetings: Assist in the preparation of materials for Leadership and Team meetings, demonstrating energy and attention to detail in ensuring all necessary documentation and presentations are ready for review. Problem-Solving: Proactively identify and solve problems as they arise, demonstrating courage and resourcefulness in finding effective solutions to challenges. Executive Support for the Director: Provide executive support for the Director, including scheduling, booking flights, travel itineraries, and accommodation, demonstrating loyalty and commitment to facilitating their work. Requirements Previous experience as an Executive Assistant or similar role in a fast-paced environment, preferably in the financial services industry. Strong organisational and time management skills, with the ability to prioritise tasks effectively and meet deadlines. Excellent communication skills, both written and verbal, with a professional and diplomatic demeanour. Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and experience with calendar management and email systems. Attention to detail and high level of accuracy in all tasks. An understandong of confidentiality when handling sensitive information. Ability to work independently with minimal supervision and as part of a team. Flexibility and adaptability to changing priorities and deadlines.
