Job Summary This role is responsible for the smooth running of the office on a day-to-day basis. This role is to be in charge of the office's Health & Safety and to deliver an effective administrative service to the MD and the organisation. Duties & R esponsibilities Handling all correspondence, including postal and email enquiries relating to administrative matters Overseeing the whole upkeep of the office, ensuring it was always clean and fit for purpose. Answering and directing calls and taking messages Overseeing snacks and beverages and other office stocks Organising and assisting meetings and events (i.e. venues, hospitalities, transports, accommodations, etc.) Manage multiple diaries for MD, attending meetings and business travels as appropriate. Complex multi-region travelling itinerary booking and management for MD, including flights, trains, hotels, etc. Managing office budget and expenses, including reconciliation of company credit card Managing contracts with vendors and suppliers (i.e. cleaning, gardeners, equipment, utilities, etc.) Ensure that all required equipment and resources are repaired, serviced and maintained. Health & Safety (i.e. First Aid, Fire Safety, etc.) Basic supportive work to other departments Other ad-hoc tasks, when requested Q ualifications Solid experience in a similar position Excellent organisational skills Ability to multi-task and work under pressure Ability to communicate with individuals at all levels Self-motivated, delivery and results-focused Time flexibility and travel availability
