Team Assistant Salary: £25 Location: Canary Wharf An exciting opportunity has arisen for a professional Team Assistant to provide a fast and efficient service to a large team of Bankers in the Investment Banking Division. This role offers an excellent opportunity for someone who has experince in an office / administration role and is eager to learn and develop their skills working alongside experienced assistants, with lots of opportunity for career progression. Opportunity to work in a leading global financial services firm Competitive salary of £25 per hour Excellent opportunities for career progression What you'll do: As a Team Assistant in our Investment Banking Division, you will play a crucial role in providing administrative support to our team of Junior Bankers. Your day-to-day responsibilities will include managing diaries, coordinating meetings and conference calls, booking travel arrangements, processing expenses, maintaining our CRM system, and organising events. You will also be expected to handle any other ad hoc tasks as required. This role requires excellent communication skills as you will be interacting with both internal colleagues and external clients. Provide extensive verbal and written interaction with internal colleagues and some interaction with external clients ensuring the building and maintenance of relationships, both domestically and internationally, within the team and across other business units Assist in setting up internal/external meetings & conference calls and provide back-up telephone cover for senior banking teams Proactively maintain calendars and meetings, ensuring diaries do not have clashes and use initiative to find resolutions and workarounds Act as 'gatekeeper' for diary invitations and meeting schedules, particularly for VP level bankers Proactively book and co-ordinate all travel including flights, hotels, visas and ground transportation within the Firmwide Expense Policy Process monthly expenses (American Express card, out-of-pocket expenses, invoices) in a timely manner, using Firm systems such as Concur Maintain in-house Client Relationship Management (CRM) system Event management: Closing events, social/team events, etc. Any other ad hoc tasks, e.g. ordering business cards, or projects What you bring: The ideal candidate for the Team Assistant role will bring a wealth of administrative experience. You will have excellent interpersonal skills, with the ability to communicate effectively and build relationships with clients and staff at all levels. Your organisational skills will be second to none, with the ability to manage multiple tasks and priorities effectively. You will also have a good knowledge of Microsoft applications, experience in processing expenses online, booking travel arrangements, and working with CRM systems. A confident, friendly, outgoing personality with the ability to liaise with clients and staff at all levels Ability to remain calm under pressure and deal with last-minute changes effectively and efficiently Excellent time/priority management skills & flexibility Strong team player/buddy to other assistants in team Articulate, effective communicator with proactive 'can do' approach Highly organized & attention to detail with discretion and professionalism Good knowledge of Microsoft applications (Windows10), especially Outlook Experience processing expenses online (e.g. on Concur) Experience booking travel via an online booking tool Experience working with CRM systems What sets this company apart: Our client is a leading global financial services firm providing a wide range of investment banking, securities, wealth management and investment management services.
