Our client, an award winning Architecture Practice, are seeking a talented Office Manager & PA to join their team! As the Office Manager & PA, you will play an integral role in ensuring smooth operations and providing support to the Directors. This is a fantastic opportunity to make a significant impact! Responsibilities: Manage the office environment, keeping it clean, safe, and fully operational. Assist the Directors in optimising their time and increasing efficiency. Contribute to office systems and process development. Provide HR support to the Directors and collaborate with external advisors. Assist with organising external events. Coordinate office IT requirements and liaise with external advisors. Manage external supplier relationships. Facilitate the on boarding of new team members. Responsibilities in more detail: Accounts: Create invoices and manage the invoice schedule. Assign bank information into the expense schedule. Submit invoices and ensure all documentation is complete for the VAT return. HR: Support the on boarding process for new staff. Assist with exit management and support. Manage the HR calendar and schedule reviews. Help organise team events and contribute to celebratory occasions. Assist with policy document updates and annual leadership reviews. Handle holiday and work-from-home requests. Internal IT Support: Assist with on boarding new employees. Resolve IT issues as they arise. Manage and purchase IT equipment. Conduct regular IT equipment audits. Liaise with external software providers. Provide support for internet connection and security changes. Office Management/Facilities: Support property care and maintenance, including liaising with contractors. Manage cleaner schedules and rubbish collection. Order and maintain inventory of office supplies and refreshments. Keep samples organised. Answer calls and screen when necessary. Keep the office clean and tidy. Ensure property security and manage access and keys. Assist with office expansion and handle deliveries. Marketing & Events: Assist in client entertaining arrangements. Organise and manage team events and visits. Coordinate transportation arrangements as needed. Assist the Directors: Provide support to the leadership team and help save time. Contribute to the updating of the wider company Quality Manual. Requirements: Proven experience as an Office Manager or relevant administrative role. Strong organisational and time management skills. Excellent communication and interpersonal abilities. Proficiency in Microsoft Office and IT troubleshooting. Knowledge of HR processes and procedures is desirable. Ability to work independently and collaboratively as part of a team. Positive attitude and willingness to take initiative.
