Administrator / Office Administration Assistant who has good administrative, organisational, time-management and communication skills is required for a well-established Farming Estate in Stirling, Scotland. Working as the Administrator / Office Administration Assistant you will have a wide remit of responsibilities from general administrative duties, to checking rents have been paid for onsite properties on the Estate, raising invoices, updating databases and accounting systems, checking emails and post, ordering stationery and any other supplies required. As the Administrator / Office Administration Assistant you will also support the Chairman, which includes working on a number of projects and supporting the organisations marketing activities. If you have knowledge of Sage or other accounting software and basic bookkeeping skills, then great. If not, you will need the willingness to learn these systems. DUTIES Your duties as the Administrator / Office Administration Assistant include: General office administrative duties Raise invoices, credit notes, logging supplier invoices using Sage Accounting System (additional training will be provided) Check rents have been received for onsite properties on the Estate and follow up with tenants with regards to any queries or maintenance requests Check, respond or escalate emails to the appropriate team members Manage outgoing and incoming post Keep track of office stationary and supplies and place orders when required, liaising with suppliers Oversee domestic staff who work in the main house on the Estate to ensure the work meets the required standards Report on general day-to-day issues that need resolving on the Farm and Estate CANDIDATE REQUIREMENTS Must have previous administrative experience Good written and verbal communication skills Numerate and comfortable working with numbers Good IT skills and experience using Microsoft Office / 365 (MS Word, Excel and Outlook) Must be confident searching the internet Must have great time-management and organisational skills Any previous accounting / bookkeeping experience would be highly desirable, although not essential as additional training will be provided Any experience using Accounting Software such as Sage, Xero, QuickBooks or similar software would be desirable, although not essential as additional training will be provided HOW TO APPLY To be considered for this job vacancy, please submit your CV to our Recruitment Team who will review your details. This is an exciting opportunity to work within the prison service and can often lead to permanent opportunities. The post is full time (39 hours per week) on a temporary basis. Hours worked: Monday - Thursday 07:30am - 16:30pm, Friday working 07:30am - 15:30pm with a 1-hour unpaid break. These hours may differ slightly. The rate of pay will be £15.84 including holiday pay.
