The Legal Secretarial Assistant provides junior secretarial, administrative and clerical support to the Partners and fee earners in the department by assisting and supporting the senior secretaries with tasks that include but are not limited to the below: Photocopying, scanning and printing, taking care to check all work before passing over, i.e. are any pages missing, is the document legible Assisting with the preparation of Deed Packets, creating accurate Deed Schedules and ensuring that the appropriate process is followed for the secure storage of all Deeds Liaising with Senior PAs in the team to ensure that any tasks allocated are fully understood and executed appropriately Assisting with opening and closing files Assisting with billing matters Data input within Interaction to include marketing lists Assist with the preparation of marketing material using Vuture and Kentico as may be appropriate Dealing with post folders Dealing with electronic portals e.g. High-Q/iManage share Supporting the preparation of bulk documentation, files and bundles Preparing voluminous and complicated packs of papers and ensuring that the correct papers go to the correct recipients and that they are carefully checked and presented professionally Using Outlook to send and monitor calendar appointments Electronic and physical paper filing Taking responsibility for the files you keep and ensuring that they are always up to date and that papers can be retrieved easily Providing additional support to the PAs in the team A bit about you: The ideal candidate will have administration experience gained in a junior role within a professional services/law firm, looking to progress their career in a top city firm Good overall IT skills, including the use Word and Outlook. Your new company A Primary school based in South Birmingham, B32 is looking to appoint a skilful senior administrator / Office Manager to cover a maternity leave. The role will be Monday - Friday, 8am - 4pm. Your new role The role will be to ensure the smooth and effective running of the school, this will be under the direction of the Headteacher, and you will be required act in a confidential manner for the best interests of the Academy, pupils, and staff.The role will involve but not restricted to: Provide appropriate levels of clerical support to the Headteacher and Academy Staff including typing, filing and photocopying and postage. Receiving and handling telephone enquiries, incoming emails, dealing with queries, making appointments, and providing general information about the school. Acting as a first point of contact for visitors, parents and school governors and ensuring compliance to the Academy's Safeguarding Policy. Supporting the Academy or different departments with the accurate reporting of data on Parago. Supporting financial processing - e.g. processing of invoices, income, banking and through MCAS. Placing orders of goods and services with suppliers and entering of appropriate details through PSF and requesting new supplier set up. Supporting with administrative duties and tasks associated with the Bromcom system - e.g., pupil data including attendance, staff absence. Support with the delivery of educational visits e.g., this may include the administration associated with this activity such as booking travel or typing up risk assessments, or phoning or emailing coach companies. General administration - answering calls, emails, administration for Business Partners (in relation to processing through various systems) if required and supporting school leaders as appropriate. To be responsible for keeping accurate records relating to any Purchasing Cards and provide reconciliations to the Finance Business Partner monthly. To create purchase ledger orders, delivery notes and invoices. To perform all duties pertaining to Pupil Admissions, Registers and Attendance (in the absence of the Administration Assistant or Pastoral Manager) waiting lists, Pupil Records, CTF, Census, Assessment and Year End Procedures. To be responsible for completing any necessary returns to the Academy Trust, LA and DFE and others as appropriate, including School Census and supporting the HR Business Partner with the Workforce Census. To update the Single Central Record on a daily basis under the guidance of the Headteacher. What you'll need to succeed The ideal individual will have: You should already have experience of working in a school environment. Experience of contributing at a strategic level within the senior management/leadership team of an organisation. Knowledge and experience of managing risk assessments and health and safety legislation. Experience of managing budgets and resources. Ability to lead and manage change. Flexibility and willingness to be adaptable. Administration Officer - England Central Birmingham, West Midlands We are recruiting an Administration Officer to provide an effective and comprehensive range of administrative support to workstreams/projects, which will enable the charity to fulfil its function across Central England to a high-quality standard. What you will do: Co-ordinate training bookings, using the diary system, email and databases to ensure training is organised, allocated and delivered. Create resource packs for colleagues delivering training courses and workshops.
