We are currently recruiting staff for an exciting opportunity to work at a world-famous Museum, based in South Kensington in a busy Retail environment. As Retail Assistant you will be supporting the team with the day to day needs of the shop floor to drive sales and provide a world class customer experience at all times. This is a temporary position to assist with the peak period. This position is an ongoing position Please note - we will be holding an assessment at the Museum Wednesday 8th May 2024 - training dates will be on Thursday 9th May and Friday 10th May. You will be expected to have availability for a minimum of 3 shifts per week including weekends Main tasks and responsibilities To support the Museum retail management team by being part of a shop floor team that deliver commercial and operational excellence To be a brand ambassador for the Museum Provide world class customer service to every customer. To help achieve targets proactively selling and promoting add-ons at the till point. To take responsibility for own time management, communicating to your line manager when you are unable to attend work. To follow guidance of the visual merchandising team to maintain shop floor displays. To help look for and drive sales opportunities on the shop floor. To assist setting up shops in the morning, including starting till sessions, putting in floats Assisting with stock deliveries and replenishment throughout the day. Role requirements Educated to 'GCSE' Level standard (or equivalent) Previous experience of delivering exceptional customer service in a busy environment Experience of working within a target driven environment A proactive, hands-on approach to work, with excellent attention to detail Demonstrable experience of stock replenishment and organisation skills. As the Portfolio Manager, you will be responsible for supporting the Head of Property Management in maintaining and updating tenant and property profiles, managing compliance, and ensuring effective communication with tenants and service providers. This role requires meticulous record-keeping, excellent communication skills, and the ability to manage multiple tasks efficiently. Responsibilities will include: Scanning and uploading documents to Alto and Shared Drive Creating and maintaining tenant and property profiles on Alto Preparing and sending documentation for new and renewal tenancies on Adobe Sign and chasing outstanding documents Ensuring compliance with all legal requirements and sending prescribed information to tenants Generating and sending ad hoc service charge demands and invoices to leaseholders; monitoring and liaising on outstanding payments Managing rent collection, producing weekly rent reports, and liaising regarding overdue rents Producing quarterly rental account statements Processing payments, maintaining property ledger, and completing tasks on Alto Generating accounts ledgers for each landlord company and liaising with accountants Monitoring compliance with safety regulations and managing renewals of safety certificates Scheduling and managing inspections and managing Head of Property Management's appointments Coordinating tenant transitions, including check-ins, check-outs, and utility changes Communicating effectively with tenants through welcome and check-out emails Setting up new deposits with the Deposit Protection Service (DPS) Assisting with the coordination and oversight of maintenance activities, ensuring timely and cost-effective resolutions to property issues Providing additional support to the Head of Property Management as needed. Personal specification: Proven experience in property management administration or a similar role Proficiency in property management software, preferably Alto Strong organisational and administrative skills Excellent communication and interpersonal skills Knowledge of property management regulations and compliance requirements Experience with financial record-keeping and invoicing would be desirable Ability to coordinate and oversee maintenance tasks, ensuring they are completed efficiently. Detail-oriented and proactive Excellent problem-solving skills It is important to note that this is a 12 month contract. The salary for this role will be in the region of £30,000 to £35,000 depending on experience. Working hours are Monday to Friday 9am to 5pm.
