The Organisation

We're Imperial Health Charity, an organisation that helps our hospitals do more through grants, arts, volunteering and fundraising. We support the five hospitals of Imperial College Healthcare NHS Trust: Charing Cross, Hammersmith, Queen Charlotte's & Chelsea, St Mary's and the Western Eye.

We are currently seeking a Special Purpose Fund Administrator to join our team on a part-time basis, working 21-28 hours per week, for a 12 month fixed term contract.

The Role

As our Special Purpose Fund Administrator, you will manage the administration of our Special Purpose Funds (SPF) operations and processes.

SPFs contain charitable donations that can be used for services across our Trust and projects that benefit patients and staff, above and beyond what the NHS can normally do.

Working closely with the Fund Engagement Officer, you will support the management of SPF claims, oversee a dedicated email inbox, process invoices and engage with NHS staff who use these funds.

You will also authorise SPF payments, ensuring all expenditure is in line with the purpose of the fund and adheres to SPF Governance Guidelines.

Additionally, you will:

- Act as the initial point of contact for fund advisers
- Record and process invoices against open donor restricted grants
- Maintain an accurate inventory of SPFs on our fundraising and finance databases
- Ensure fund adviser compliance with the SPF governance guidelines
- Support the fundraising team with SPF queries

About You

To be considered as our Special Purpose Fund Administrator, you will need:

- Experience of finance administration
- Experience of producing accurate documents to support finance administration
- Experience of working with confidential and sensitive information
- Experience of creating meeting agendas and taking accurate minutes
- An understanding of restricted and unrestricted income
- The ability to use complex data, finance systems and grants management databases to maintain accurate records
- The ability to travel between hospital sites in West London
