Bursary Assistant

Reporting to Bursar

Location: Hampstead Heath

Salary £30-40,000 per annum

Hours of Work 8.00am - 4.30pm, Monday to Friday (office based 5 days a week)

This is an office-based role 5 days a week and cannot offer any hybrid working.

The key purpose of this role is to assist the Bursar in the smooth running of the Bursar's office with finance, general office administration and organisation of site maintenance. The role will be extremely varied with a flexible attitude towards responsibilities being required.

General Management and Administration

  1. Assisting the Bursar with all aspects of general management and administration.
  2. Answering telephone calls as required;
  3. Manning the intercom buzzer as required;
  4. Preparation of letters for parents;
  5. Filing, as required;
  6. Cover for School Secretary and/or Head's PA as and when required, due to absence
  7. Acting as First Aider for School Office as required (First Aid in the Workplace training provided);
  8. Fire Warden (training provided);
  9. Take minutes and record actions from Management meetings
  10. Ad hoc projects as requested by the Bursar.

Finance and Accountancy

Assist the Bursar in:

  1. Preparing all pupil fee bills including all fees, extras and discounts for parents and entering data onto information management system;
  2. Reconciling direct debit receipts for fees and updating the Bursar on a timely basis with summary of outstanding fees;
  3. Collecting all non-direct debit fee payments and chasing outstanding fees;
  4. Preparing deposit requests for prospective parents and entering data onto system;
  5. Repaying final deposits to parents when their child leaves, or allocating the money to the bursary fund, if donated back to the school;
  6. Liaising with insurance company regarding pupil numbers and fee insurance.
  7. Assist with all invoicing and payments (training provided).

School Buildings and Grounds

  1. Keeping annual maintenance schedule up to date and booking maintenance contractors in a timely manner;
  2. Booking contractors when required, outside of the maintenance schedule;
  3. Updating the caretaker on maintenance issues on a daily basis;
  4. Liaising with the housekeeper on housekeeping issues including cleaning products, petty cash and staffroom supplies;
  5. Main point of contact for all initial queries regarding maintenance;
  6. Handling all minor projects on behalf of the Bursar but in consultation with the Bursar.

  1. Checking stock requisition forms are signed by the relevant budget holder and ordering of stock accordingly;
  2. Ordering additional items as requested by the Bursar;
  3. Keeping records of resources ordered, delivered and invoiced;
  4. Distributing (with the Caretaker's help where required) all received orders to the correct member of staff on a timely basis;
  5. Ensuring all teaching staff have the resources they require for the start of each term;
