About Us

The Tregothnan Estate is a private family home with a world-renowned botanical garden and woodland. The Estate has a team of maintenance, gardening, forestry and joinery employees that maintain the core estate and manage the beautiful surroundings which are on the edge of the River Fal. The Estate is also a landlord with a substantial portfolio of residential, commercial, and agricultural properties.

Through its day to day running, the Estate produces tea (the only UK grown blend), honey and jam, which are sold by our trading team; delivers Experiences including Garden and Tea Tasting Tours; and rents holiday accommodation. The Role

You will learn administrative processes from our two other Property Administrators, to support the Land and Property Team, working within a friendly and busy office. This is a fantastic opportunity if you are looking for a varied role, in a fast-paced environment, and want to learn about property management administration.

Duties include:

- Providing administrative support and diary management to the team.
- Answering the telephone, taking calls from tenants, contractors and general estate enquiries, and ensuring these are dealt with in a professional and timely manner.
- Distributing incoming post and franking daily mail. Receiving and dispatching parcel deliveries.
- Assisting with the maintenance of the property database and rent generation.
- Assisting in the management of rental debtors and collection of rent.
- Preparation of correspondence, tenancy agreements, property particulars and tender packs.
- Ensuring paperwork and agreements are filed accurately and the filing kept up to date.
- Assisting with binding and sending of legal documents.
- Preparing legal documents for signature.
- Assisting with the maintenance and updating of the letting profile and particulars on our website.
- Assisting in coordinating contractors to undertake emergency and planned repairs to the property portfolio in Cornwall and raising purchase orders.
- Assisting with the insurance renewal checks of all contractors and with the implementation of the contractor protocols.

About You

You will need:

- 5 GCSEs, including Level 4 Maths and English.
- Previous administrative and customer-service experience.
- Excellent organisational skills, ability to prioritise, and a high degree of attention to detail.
- Excellent timekeeping.
- Excellent IT skills, including Excel, Word, Outlook, and database management.
- Excellent communication and interpersonal skills, professional attitude, polite and good levels of personal presentation.
- Flexible and positive attitude.
- Capable of working to the highest standards with integrity, discretion and good humour.
- Ability to work alone and as part of a team.
- Full, valid driving licence and own transport to travel to and from work, as we are in a rural location, with no access to public transport.
