Our client, a leading name in the PR, marketing, and communications industry, is looking for a dedicated and proactive individual to join their team as a Front-of-House Receptionist and Administrative Assistant. In this pivotal role, you'll manage routine correspondence and calls, ensuring all enquiries are handled proficiently and directed to the appropriate internal specialists. You will provide a warm and welcoming reception to all visitors, making the best first impression on behalf of our client. Your responsibilities will also include supporting the setup of the boardroom for meetings, ensuring it is always ready for important discussions and presentations.

Taking ownership of communal areas will be a key part of your role. You will ensure that the office is always well-presented, performing spot cleaning tasks such as carpet maintenance as needed. Stock maintenance is also under your purview, ensuring that office materials, staff, and client provisions (coffee, fruit, milk), as well as all bathroom supplies, are adequately stocked. You'll liaise with the office cleaner to maintain clean glassware and crockery and organise staff training sessions, including arranging refreshments and providing technical support.

Your organisational skills will be put to the test as you arrange taxis, couriers, and train bookings as required, and manage both incoming and outgoing post. Additional duties include printing, binding, and liaising with our offices throughout the UK. You'll also handle diary management using Outlook, ensuring seamless scheduling and coordination.

Supporting the wider team, you will conduct online research, format documents, and manage databases. Using Roxhill, you will assemble media lists and contact databases, as well as compile monthly cuttings packs. You'll assist in planning event management activities, ranging from office socials to client events and public exhibitions. Media monitoring and handling general correspondence for clients, including large-scale mail outs, will also be part of your role. Your expertise in formatting documents and presentations, liaising with suppliers and building management, and assisting with setup for candidates' written tests will be invaluable. Additionally, you'll support various health and safety duties.

The ideal candidate will have 1-2 years of reception or administration experience and be A-Level educated at a minimum.

Proficiency in Microsoft Word packages is essential, including basic skills in Excel, advanced formatting skills and mail merge in Word, basic skills in PowerPoint, and intermediate skills in Outlook.

A keen interest in communications, PR, and current affairs is ideal. Plus someone who possesses strong verbal and written communication skills, high attention to detail, confidence, tact, and a professional yet friendly manner.

Ability to work independently as well as being a great team player is crucial.

Excellent people skills for interacting with a range of colleagues and clients, a proactive problem-solving approach.
